After-hours call answering for physiotherapy clinics

- Says it is an AI assistant
- Takes requests, never confirms them
- Your number stays the same
After hours
What happens to a call after hours
The same four steps, whether the call comes at 7pm on a weekday or halfway through a busy Saturday clinic.
- 01
It answers
It names your clinic, says it is the clinic's AI assistant and that the call is transcribed.
- 02
It takes the request
A new assessment, a follow-up, a change or a cancellation: it takes the caller's name, number, reason and preferred time, and reads the number back.
- 03
It promises no slot
It cannot see which physio is free, so it never confirms a time. It tells the caller the team will ring to confirm.
- 04
Your team books it
When you open, each request is waiting with its transcript, wherever you choose to receive it.
In the caller’s words
What callers ask, and what it says
It knows your clinic from the list you give us, and nothing else.
- Caller asks
"Do I need a referral?"
It answers from the list you give us, word for word. If the answer is not there, it says so and takes a request.
- Caller asks
"How much is an initial assessment?"
It quotes the prices on your price list, and no others.
- Caller asks
"Should I come in, or rest it?"
It gives no clinical advice. If a caller describes an emergency, it tells them to call 999 or 112, or 000 in Australia.
- Caller asks
"Can I cancel tomorrow?"
It notes the cancellation and repeats your cancellation policy as you wrote it. It never waives or invents a fee.
Before it goes live
How we test it before it goes live
We are new, so we would rather show you than claim it. No client case studies yet; our work page has scripted sample calls and our own builds, each labelled.
- 01
YouOne conversation
Your hours, prices, referral and cancellation rules, and what counts as urgent.
- 02
WeScripted test calls
A new patient, a late cancellation, a caller asking whether to come in, one pushing for a time. It fails if it confirms a slot, gives advice or gets a number wrong.
- 03
YouYou call it
Nothing goes live until you have called it yourself and approved it.
- 04
WeData agreed, then live
Before any live call, we agree in writing how call data is handled. After that, we read the transcripts every week.
Price
What it costs
The price comes in writing after one conversation, before any work starts.
- One monthly plan, with setup, the script, the voice and testing included.
- Sized by the minutes of calls you expect: evenings and weekends only, or daytime overflow as well.
- Month to month. Any minimum term is written down before you start.
- Your opening hours and your price list.
- Your rules on referrals, insurers or health funds, and cancellations.
- What counts as urgent, and where requests should arrive.
- A phone line that can forward calls when you are closed or busy.
Questions
Questions clinic owners ask
Can it book into our clinic software? No. Your team books every appointment.
It never sees your diary, so it never confirms a time. If you want a direct connection later, we will first tell you in writing whether your software allows it.
Can it take calls during the day as well?Yes, as overflow.
Calls can be forwarded when the line is busy or nobody answers, so a physio in a session does not have to leave a patient to pick up.
Will callers know it is an AI?Yes, from the first sentence.
A caller who wants a person gets a call back from your team.
What happens to the call data?It is agreed in writing before any live call.
Each call produces a transcript and a request: name, number, reason and preferred time. It does not ask for dates of birth, card details or medical history. How that data is kept, and for how long, goes into our written agreement with you.
Do we keep our number?Yes.
Patients dial the number they always have, and you can switch the forwarding off at any time.
Tell us when your phone goes unanswered.
A few lines is enough: your clinic, your hours, and which calls you miss. We reply by email with a few questions and a time to talk.
