Kinetic Voice · data note
What we store, where, and for how long.
Last updated 25 October 2026
What is stored
- The transcript of each call: the words the caller and the agent said.
- The booking request: the caller’s name, phone number, reason for calling, the time they asked for, and the time of the call.
- A short summary of the call, and a note of whether it was handed to a person.
Our standard setting is that the audio of the call is not saved. We do not ask callers for an ID number, payment details or medical history. The agent takes the reason for the visit in the caller’s own words.
Where it is stored today
Today the voice agent runs on ElevenLabs, a voice provider whose servers are in the United States, and it uses AI models to understand and answer. Call data sits with that provider while it is used.
The booking request is then sent to your team by WhatsApp or email, as you choose. After that it is in your own WhatsApp or email account, under your rules and that provider’s.
Live patient calls start only after our UAE data setup is confirmed. UAE rules limit where health data may be processed, and booking details count. So we do not forward real patient calls to the current setup. We are not claiming UAE hosting, a security certification or compliance with UAE health-data law, because none of those is in place yet.
Until then, a pilot week uses your staff calling the agent with scripted scenarios on our test numbers. No patient data is involved.
How long we keep it
Transcripts are kept for up to 30 days, then deleted. The monthly review report keeps its counts, and the three transcripts we review with you; we remove names and phone numbers from those before they go in the report.
Who can see it
- The people at Kinetic Depth who run and review your agent. A person reads a sample of your calls each month to fix what went wrong.
- The people you choose at your clinic, through the booking message and the monthly report.
- Our voice provider, which handles the data in order to run the call.
We do not sell call data, use it to advertise, or use it for anything except running and improving your agent. Callers always hear that they are speaking to an AI assistant.
How to have it deleted
Write to hello@kineticdepth.com and say which call, caller or date. We delete it from our records and from the voice provider’s, and confirm by email when it is done. If you stop, we hand your data over on request and delete our copies.
More
How the agent handles urgent calls is in the urgent-call rule. The rules every agent follows are in how we use AI voices, and our website’s own data practices are in the privacy notice. This is a plain-language note, not legal advice.
