Physio answering service: how clinics stop losing bookings to missed calls
Last updated 25 October 2026
Why physio clinics miss so many calls
Physiotherapy is hands-on. During a 30 or 45 minute session the clinician is with the patient, and in a small clinic there is often no one free at the desk. Calls bunch up at the same times the clinic is busiest: early morning, lunchtime and after work.
A new patient in pain usually calls a few clinics from a search result. If the first one rings out, they call the next. That is why speed to answer matters more for a physio clinic than almost anything else on the phone: the clinic that picks up first, with a clear next step, tends to get the booking.
The four options, honestly compared
1. Voicemail. Free, but most new callers hang up instead of leaving a message, and the ones who do expect a call back within the hour. Every message also costs your team time later.
2. Front desk or a clinician answering between sessions. The warmest answer when it works, but it breaks during sessions, breaks and after hours, which is when a lot of new patients call.
3. A human answering service. A call centre answers in your clinic's name and takes a message or books into your diary. Good for after hours. Check whether they can see your real availability, whether they charge per call or per minute, and how quickly messages reach you.
4. An AI receptionist. Software that answers every call at once, around the clock, says it's an AI, answers common questions (prices, locations, what to wear, health-fund or insurance questions) and books straight into your practice software where that is connected. It should hand the call to a person, or take a clear message, whenever it is unsure.
A checklist for any physio answering service
Speed to answer. Calls should be picked up within a few rings, every time, including lunch and evenings.
Books, not just messages. The service should check real availability and confirm a time, or the enquiry is still waiting on you.
Knows your clinic. Your practitioners, services, prices, parking, cancellation policy and what a first appointment involves.
Safe with clinical questions. It should never give treatment advice. Anything clinical or urgent goes to a person, and emergencies are told to call emergency services.
Every call recorded and summarised. So you can see what people ask, which calls became bookings, and fix the gaps.
Clear pricing. Per minute or per month, with no surprise for after-hours calls.
How to measure enquiry-to-booking conversion
For two weeks, count three numbers: calls received, calls answered, and calls that ended in a booked appointment. Your phone system or mobile carrier shows missed calls by hour. The gap between calls received and appointments booked is the number an answering service has to close. Check it again two weeks after any change.
Where we come in
We build Kinetic Voice, an AI receptionist set up and run for your clinic. It answers every call, says it's an AI, books into your diary and sends your team a summary of each call. You can hear it answer a live call, read how Kinetic Voice works, or book a 15-minute call and try it free for 7 days on your own number.
